This Privacy Policy explains what data Rankzilla ("Rankzilla", "we", "us") collects when you use our local business growth platform, why we collect it, how we protect it, and the choices you have. It applies to our website, dashboard, and all features of the Service described in our Terms of Use.

The short version: we collect the data needed to analyze your Google Business Profile, generate recommendations and content, and run your subscription. We do not sell your personal information.

Information We Collect

Account Information

When you register, we collect your name, email address, password (stored in hashed form), and basic details about your business or agency. If you sign in with Google, we receive the profile information Google shares during authentication.

Business Information

To generate useful audits and recommendations, we collect information about the businesses you manage in Rankzilla: business name, category, location, contact details, service descriptions, and the content you create or upload for social media posts.

Google Business Profile Data

When you connect a Google Business Profile, we access data from that profile through Google's official APIs. This includes your listing details, categories, photos, posts, customer reviews, and profile performance data. We use this data to run audits, generate SEO recommendations, analyze keywords, produce review reply drafts, and show performance insights in your dashboard.

Our use of data received from Google APIs complies with Google's API Services User Data Policy, including its Limited Use requirements. You can disconnect your Google Business Profile at any time from your Rankzilla settings or from your Google account permissions page.

Usage Analytics

We collect information about how you use the Service: pages visited, features used, actions taken in the dashboard, device and browser type, IP address, and approximate location derived from it. This helps us fix problems, understand which features matter, and improve the product.

Cookies

We use cookies and similar technologies to keep you signed in, remember your preferences, and measure how the Service is used. Essential cookies are required for the platform to work. Analytics cookies can be controlled through your browser settings or, where required by law, through our cookie preferences tool.

Payment Information

Subscription payments are processed by third-party payment providers. We do not store your full card number or banking details on our servers. We receive limited information from the payment provider, such as the payment status, the last digits of your card, and billing history, which we use for invoicing and support.

How We Use Your Data

  • To provide the Service: profile audits, SEO recommendations, keyword analysis, competitor insights, review reply generation, social media content creation, and automated publishing.
  • To operate your account, process payments, and send service-related emails such as billing notices and security alerts.
  • To provide customer support and respond to your requests.
  • To monitor, secure, and improve the Service.
  • To comply with legal obligations.

Where laws such as the GDPR apply, we rely on the following legal bases: performance of our contract with you, our legitimate interests in running and improving the Service, your consent where required (for example, certain cookies), and compliance with legal obligations.

AI Processing

Rankzilla uses AI systems to analyze your business data and generate output such as audits, recommendations, review replies, and social media posts. During this processing, relevant data from your account and connected Google Business Profile (for example, your listing details and customer reviews) is sent to the AI systems that power these features, which may include third-party AI providers acting as our processors.

This data is used to generate results for your account. We do not allow third-party AI providers to use your Google Business Profile data to train their general models. More detail on how AI features behave is available in our Terms of AI Usage.

Third-party Services

We share data with a limited set of service providers who help us run Rankzilla:

  • Google, when you connect your Google Business Profile or sign in with Google.
  • Social media platforms you connect for automated publishing, which receive the content you schedule or publish.
  • Payment providers, for subscription billing.
  • Hosting, analytics, email delivery, and AI infrastructure providers, under contracts that restrict how they may use your data.

We may also disclose data where required by law, to protect our rights or users, or as part of a business transaction such as a merger, in which case this policy will continue to apply to your data.

We do not sell your personal information, and we do not share it with third parties for their own advertising.

Data Security

We protect your data using industry-standard measures, including encryption in transit, encrypted storage of sensitive credentials, access controls that limit which staff can view customer data, and monitoring for suspicious activity. No online service can guarantee absolute security, but we treat protecting your business data as a core responsibility. If a breach affects your personal data, we will notify you and the relevant authorities as required by law.

Data Retention

We keep your data for as long as your account is active and as needed to provide the Service. When you delete your account, we delete or anonymize your personal data and connected business data within the timelines described on our Account Deletion page, except where we must retain certain records (such as invoices) to meet legal, tax, or accounting obligations.

Your Rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate data.
  • Delete your data.
  • Receive a copy of your data in a portable format.
  • Object to or restrict certain processing.
  • Withdraw consent where processing is based on consent.

GDPR (European Economic Area and United Kingdom)

If you are in the EEA or the UK, the rights above apply under the General Data Protection Regulation and UK GDPR. You also have the right to lodge a complaint with your local data protection authority. We act as the data controller for account data and, for Google Business Profile data you connect, we process it on your instructions to provide the Service.

CCPA (California)

If you are a California resident, you have the right to know what personal information we collect, to request its deletion, to correct it, and to not be discriminated against for exercising these rights. We do not sell or share personal information as those terms are defined in the California Consumer Privacy Act.

Children's Privacy

Rankzilla is a business tool and is not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal data, contact us and we will delete it.

International Data Transfers

Our servers and service providers may be located in countries other than yours. When we transfer personal data internationally, we use appropriate safeguards, such as standard contractual clauses, to protect it in line with applicable data protection laws.

Policy Updates

We may update this Privacy Policy from time to time. If a change is material, we will notify you by email or through the dashboard before it takes effect. The effective date at the top of this page shows when the policy was last revised.
